At Cleanique Ltd., we prioritise your privacy and are committed to safeguarding your personal information. This Privacy Policy explains how we collect, use, store, and protect your personal data in compliance with applicable privacy laws.
1. Information We Collect
When you use our services, we collect certain personal information to ensure smooth operations. This includes details such as your name, business name, address, phone number, and email address. If you are a linen hire client or use our account-based services, we may also collect payment information, including card details, to facilitate transactions. Additionally, we collect any special instructions or inventory lists you provide to process your laundry or linen hire requirements.
Communications between you and our team, whether via email, phone, or written notes, may also be stored to help us better address your needs. For delivery and collection purposes, we collect information about delivery addresses and contact persons to ensure efficient service.
2. How We Use Your Information
Your personal information is primarily used to fulfil the services you request. This includes processing laundry or linen hire orders, organising collection and delivery schedules, and issuing invoices. Payment details provided during client sign-up are securely stored and used for direct debit transactions, ensuring hassle-free payments for future services.
We may also use your information to address any inquiries, complaints, or special requests and to contact you regarding changes to our services or policies. Any feedback or data collected is analysed to improve the quality of our services and enhance your overall experience.
3. Payment Information
During the sign-up process, we require customers to provide their card details to set up a direct debit arrangement. This is necessary for processing payments for current and future transactions.
Payments made within seven days of invoice issuance are eligible for a 5% discount. However, payments overdue by the agreed 15-day credit period will incur a 5% daily interest charge on the outstanding balance. Linen hire clients may also be required to pay a refundable deposit starts at £75, subject to management review. Deposits will be invoiced separately.
All payment data is securely handled and stored in compliance with industry standards. We do not share your payment information with third parties except for trusted payment processors to complete transactions.
4. Collection and Sharing of Data
We understand the importance of maintaining confidentiality and only share your information when absolutely necessary. For example, third-party service providers, such as delivery services or payment processors, may access your details to ensure we deliver your order or process your payment correctly. These third parties are contractually obligated to handle your information securely and solely for the purposes of providing the agreed-upon services.
We will not sell, rent, or disclose your personal data to other parties for marketing purposes. However, we may share information if required by law or to protect our rights or the safety of our customers.
5. Retention of Information
We retain your personal information only for as long as it is necessary to fulfil the purposes outlined in this Privacy Policy. Service-related data, including order and delivery details, is typically retained for a minimum of 90 days to address discrepancies or uncollected items. Payment data is retained for record-keeping and invoicing purposes, as required by law.
6. Security Measures
We employ robust security measures to protect your personal information. This includes secure storage systems for both digital and physical records and encrypted processing for sensitive data like payment information. Access to your personal information is restricted to authorised personnel who require it to perform their duties.
While we take every precaution to safeguard your data, no system can be guaranteed to be entirely secure. By using our services, you acknowledge that Cleanique Laundry and Linen Services cannot be held responsible for unauthorised access due to circumstances beyond our control.
7. Your Rights
As a valued customer, you have the right to request access to the personal information we hold about you. You may also request corrections to inaccurate or incomplete data and, in certain circumstances, request the deletion of your personal information. Please note that certain legal or contractual obligations may prevent us from deleting specific data, such as payment records.
If you prefer not to receive communications from us unrelated to your orders, you may opt-out by contacting us directly. To exercise your rights, please reach out via email at info@cleanique.co.uk or call 01244 681300.
8. Inventory and Labelling
To ensure accurate processing of your laundry, we recommend including a written inventory list of all items in your order. This can be emailed to orders@cleanique.co.uk or provided on a written sheet placed inside your laundry bag. Clearly labelling items, especially bedding and towels, is highly encouraged to minimise the risk of loss or misidentification.
If no inventory list is provided, Cleanique will not be held responsible for any missing items that are not specifically noted at the time of collection. In such cases, we reserve the right to create an inventory list ourselves for internal use.
9. Handling Complaints
If you are dissatisfied with any aspect of our service, please contact us at your earliest convenience. Missing or damaged items must be reported within 48 hours of receiving your order to ensure a timely resolution. After 48 hours we no longer accept any returns or complaints. We are committed to addressing your concerns and ensuring a satisfactory outcome.

10. Updates to Our Privacy Policy
We may update this Privacy Policy to reflect changes in our practices or applicable regulations. All updates will be published on our website, and, where significant changes occur, we will notify you directly. By continuing to use our services after updates are published, you agree to the terms of the revised Privacy Policy.
